A Business Listing Is Easier to Maintain When Someone Can Access It

Accurate citation management depends on more than the information visible to customers. Businesses also need control of the accounts behind important profiles. Problems appear when a former employee, outside agency, or forgotten email address is the only route to editing a listing.

Step 1: Use Accounts the Business Can Recover

Where possible, claim profiles with an email address controlled by the organisation rather than a personal account that may disappear when someone leaves. Store recovery information securely and document which team or person is responsible for each platform.

For multi-location businesses, decide whether listings will be managed centrally or by individual branches. Either model can work if ownership is clear.

Step 2: Account control is part of citation quality

A correct listing can become difficult to maintain if nobody knows which email address owns it. Keep important profiles under business-controlled accounts where possible, document recovery methods, and record who has permission to edit. When staff or agencies change, access should transfer deliberately rather than being rediscovered during the next urgent update.

Step 3: Keep an Access Register

A simple internal register can record the directory, profile URL, account email, verification status, responsible owner, and last review date. Passwords should remain in an appropriate secure password manager rather than an ordinary spreadsheet.

When a staff member or agency relationship ends, transfer access before the account becomes difficult to recover.

Public accuracy depends on private administration. If a business cannot access its important listings, even a simple phone number change can become unnecessarily difficult.
